01The short version
- Your saved projects are stored in your Perfect Takeoff account, in the cloud, so they open on any computer you sign in from. That includes the plan PDF, the devices, your prices and your quote. A copy is also kept in your own browser.
- Plan images are sent to an AI service (Anthropic's Claude) to recognize devices, through our server. We don't use your drawings to train AI, and we don't sell or rent your data.
- Each account sees only its own projects. The exceptions are ones you choose: a share link you send, or a team you join.
- You can delete projects in the app at any time, and ask us to delete your account.
- Our website uses Google Ads measurement. If you arrive from one of our ads, Google sets a cookie so we can tell that the ad led to a sign-up or demo request. The app itself has no advertising or tracking cookies. See §09 for what this means and how to opt out.
02What we collect
| What | Why |
|---|---|
| Account details: your email address and sign-in credentials | To create your account and sign you in. Passwords are handled by our sign-in provider and stored hashed; we never see them. |
| Plan and billing status: your plan, trial and subscription status, and the payment provider's customer reference | To give you the plan you paid for. We do not receive or store your card number. |
| Usage records: when you start an analysis, and how many you have used this month; a fingerprint of each plan set you analyse (a hash of the file, so a re-run of the same set is free); a log of AI usage per request (its size, kept 90 days); and when you accepted the Terms, and which version | To count takeoffs against your plan's allowance. |
| Your projects: plan PDFs, devices, notes, quote inputs, prices, pipeline jobs and bids | To save your work and reopen it. See §03. |
| App settings: preferences, and saved readings of your drawings (for example a mechanical schedule) so a re-run gives the same answer | So the app behaves the same every time you open it. |
| What you send us: the demo form, and emails to hello@perfecttakeoff.com | To reply to you. |
| Business contact details: the name, work email and company of people at fire alarm and electrical contractors, taken from what those companies publish on their own websites or in public directories | To email them about Perfect Takeoff. Every such email names us, gives our postal address and says how to opt out; we stop when asked and never email that person again. |
| Advertising measurement (website only): a Google cookie identifier, the ad you clicked, the pages you visit on perfecttakeoff.com and whether you sign up or request a demo; and, if you later subscribe, a hashed version of your email address passed to Google for conversion matching | To measure which Google ads work and to show our ads to people who have visited this site (remarketing). You can opt out; see §09. |
| Technical logs: IP address, browser type and timestamps, recorded by our hosting providers | To keep the service running and secure. We don't build profiles from them. |
03Your drawings and projects
- Reading the plans. The app opens and renders your PDF in your browser.
- AI recognition. To find devices, the app sends images of plan sheets to Anthropic's Claude API, through a Perfect Takeoff server that checks your account and plan. We don't keep a copy of those images. Anthropic's commercial terms do not allow it to train its models on this data.
- Saving. When you save, the project goes to your account: the snapshot of devices, notes, quote inputs and prices, plus the plan PDF.
- A set over 45 MB is saved to your account as only its marked sheets. If even those are too large, the project is saved without its plans, which then stay in this browser only.
- A copy of each project is also kept in your browser's own storage.
- You can export any project as a .ptproj file at any time.
- Who can see a project. Only you, unless you send a share link or join a team (§06). We access account data only to run, support or secure the service, or when you ask us to.
Because plan images go to an AI service and saved projects are stored in the cloud, do not upload drawings you are not allowed to share with a third-party software service. Classified, controlled or otherwise restricted sets are examples. If you have a specific requirement, ask us at hello@perfecttakeoff.com and we will tell you honestly whether Perfect Takeoff meets it.
04How we use it
We use the information above to provide the service, keep it secure, bill and support you, count usage, fix problems, and measure our advertising on the website. We don't sell your personal information, and we never use your drawings, prices or bids to train AI or for advertising. The only advertising use is the Google Ads measurement and remarketing described in §09, which involves website visits, not anything inside the app.
We may disclose information if the law requires it, or to protect the safety and integrity of the service.
05Who else handles it
A few service providers run parts of Perfect Takeoff. Each handles only what its job needs:
| Provider | What it does | What it handles |
|---|---|---|
| Supabase | Sign-in, database, file storage, and our server functions | Your account, projects, plan PDFs, settings, usage records. It also answers the founding-spots counter on our home page, so it sees that page request (your IP address), as any web server would |
| Anthropic | AI recognition of devices and the in-app assistant | Plan images and the text you send to the assistant. Anthropic keeps them for a limited period under its commercial terms and does not train its models on them. |
| Stripe (through Link) | Checkout, payments, tax and the billing portal | Your payment details, billing name and email, and subscription |
| Netlify | Hosts the website and app, and receives the website form | Standard web logs, and what you type into the form |
| Google (Google Ads, and Google Analytics if enabled) | Measures which of our ads lead to sign-ups and demo requests, and shows our ads to past visitors of this website | Website visits, a cookie identifier, the ad clicked, conversion events, and a hashed email for conversion matching. Google acts under its own privacy policy and data processing terms. Nothing from inside the app is sent to Google. |
| Our email provider | Delivers email to and from hello@perfecttakeoff.com | Emails you send us, and our replies |
The website and the app load their typeface and their open-source code libraries (such as the PDF reader) from perfecttakeoff.com itself. No font service or code CDN sees your visit.
06Share links & teams
- Share links. When you share a proposal, a copy of it is stored and anyone with the link can open it until the link expires, at most a year after you make it, or you stop it, which you can do at any time. We count how many times it has been viewed. Stopping a link deletes its stored copy. An expired link's copy is deleted after it has been expired for 30 days, and deleting a job for good deletes its links.
- Teams. If you accept an invitation to a team, its manager can read your projects in the service, including prices, but cannot change them. You can leave the team at any time, and the manager's access ends.
07How long we keep it
- Projects stay in your account until you delete them. Deleting a project moves it to the Pipeline's Deleted view, where you can restore it. Deleting it for good from there removes it and its stored PDFs.
- Saved readings of a drawing (for example a mechanical schedule) and app settings stay with your account until you delete your account.
- Account, billing and usage records are kept while your account is open. Afterwards we keep only what we need for accounting, tax or legal reasons.
- Share links stop working when they expire (at most a year after you make them) or you stop them, and their stored copies are deleted as described in §06.
- Form submissions and emails are kept until you ask us to delete them.
08Your choices & deletion
- Delete projects yourself in the app, at any time.
- Export your work as .ptproj files at any time.
- Delete your account. Email hello@perfecttakeoff.com from your account's address. We will delete the account, its projects and its stored PDFs, except records we must keep for accounting or legal reasons.
- Ask what we hold, or correct it, by email.
- Unsubscribe from any email we send. Each one has a way to opt out: reply “stop”, or email hello@perfecttakeoff.com. We act on it within 10 business days, and usually the same day.
Depending on where you live, for example under California's CCPA/CPRA or the GDPR, you may have further rights to access, correct, delete or restrict your personal information. Email us to use them, and we will not treat you differently for doing so. You may use an authorized agent, and we verify every request by email from the address on the account. We do not sell personal information. The one case that may count as “sharing” for advertising, Google Ads measurement on the website, is described in §09 with how to opt out.
Children. Perfect Takeoff is for business use by adults, and you must be 18 or older to create an account. It is not directed to children. We do not knowingly collect personal information from anyone under 18, including children under 13. If we learn that we have, we delete it. If you believe a child has given us information, email hello@perfecttakeoff.com.
09Cookies, advertising & browser storage
Website advertising cookies. perfecttakeoff.com uses Google Ads conversion tracking and remarketing (and may use Google Analytics). When you visit, Google may set cookies such as _gcl_au, _gcl_aw, _ga and IDE for up to 90 days (Analytics cookies up to 2 years). They let us see that a visit came from one of our ads, whether it led to a sign-up or a demo request, and let Google show our ads to people who have visited this site on other sites in Google's network. Google may combine this with information from your Google account under its own policies. We do not run these tags inside the Perfect Takeoff app.
Your choices.
- Where the law requires consent, we ask before setting advertising cookies and nothing is set until you agree.
- Opt out of Google's ad personalization at adssettings.google.com, or of Google Analytics with the browser add-on.
- Opt out of interest-based ads from many networks at optout.aboutads.info or optout.networkadvertising.org.
- Turn on Global Privacy Control in your browser. We honor it: advertising tags are disabled for that browser, which is how we treat a “Do Not Sell or Share” request.
- Block or clear cookies in your browser settings. The website and app keep working without advertising cookies.
California notice. Letting Google measure and remarket this way may count as “sharing” personal information for cross-context behavioral advertising under the CCPA/CPRA. We do not sell personal information, and we do not knowingly share the information of anyone under 16. To opt out of sharing, use Global Privacy Control, the Google opt-outs above, or email hello@perfecttakeoff.com with “Do Not Sell or Share” in the subject. We will not treat you differently for opting out.
The app's browser storage. The app stores a few things in your browser so it works:
- your sign-in session;
- your preferences;
- a local copy of your projects.
The local copy stays in that browser after you sign out. On a shared computer, clear the site's data in your browser settings when you are done.
Stripe's checkout and billing pages set their own cookies under Stripe's policies.
10Changes & contact
If we change how we handle your data in a meaningful way, we will update this page and its date. For a material change, we will also tell account holders by email or in the app. Use of the service is governed by our Terms of Service.
