01Why this exists
Every fire-alarm bid starts the same way: a PDF plan set lands, and someone has to turn it into a number. That someone opens the drawings, zooms in on floor after floor, and counts — smokes, pulls, horn/strobes, duct detectors, modules — page by page, keeping a running tally in a spreadsheet off to the side. It takes hours. Miss one stairwell strobe or misread the device schedule and the whole bid is off. Then the architect re-issues the set and you start over.
That workflow hasn't really changed in decades. The counting is mechanical, the pricing lives in a disconnected sheet that never quite matches the count, and the person doing it is usually the same person who also has to run the job, answer the phone, and get three other bids out the door. The takeoff is the part of estimating most worth automating and the part nobody had automated well.
Perfect Takeoff exists to collapse that: a PDF plan set in — a marked-up plan, a priced bill of materials, and a client-ready quote out, in minutes instead of hours. Not to replace the estimator's judgment, but to hand them a defensible first pass so their time goes to the parts of a bid that actually need a human.

02Who builds it
Perfect Takeoff is built by someone who has sat at the estimating desk and done these takeoffs by hand — not a general-software team guessing at what contractors need. This section is being finalised.
That origin matters, and it's the reason a couple of decisions in the product look the way they do. The device codes on the marked-up plan match the ones on a real schedule. The BOM, labor, and quote recompute off the same live takeoff instead of a separate spreadsheet. There's a pipeline for tracking bids because bidding is the actual job. Submittal and riser exports exist because that's what comes after the number. The workflow matches how bids actually get made, because it was designed by someone who has made them.
Today it's an early-access product from a small, focused shop — which is exactly why the door is open to talk directly to the person building it, and why early feedback shapes what ships next.
03What we believe
A few principles run through every part of the product. They're also the promises we'd want you to hold us to.
Reviewable, never a black box
Every device the tool places is movable and every count is editable. You get a first pass you can check and correct in minutes — not a sealed answer you're asked to trust. The estimator always keeps final say.
Your plans stay yours
The app runs in your browser and doesn't warehouse your drawings. Your pricing, labor rates, and win values never leave your machine. It's a stronger data posture than most cloud tools — because of how it's built, not a promise. See the data story →
Count, price, propose in one pass
The marked-up plan, the bill of materials, the labor, and the client quote all recompute off one live takeoff. No re-keying the count into a separate estimating sheet, no drift between what you counted and what you quoted.
Honest about the line we don't cross
We're a fast bid-stage takeoff — not a stamped engineered design. We say so everywhere, on purpose. Getting you to a quick, defensible number is a different job than sealing a set, and we don't pretend otherwise.
04What it is — and what it isn't
Being clear about scope is part of being trustworthy, so here it is plainly.
It is a computer-assisted takeoff and estimating copilot: drop in a PDF plan set, get a marked-up plan with devices placed toward NFPA 72, a live bill of materials, and a client-ready quote — all reviewable and editable before you send anything.
It isn't a stamped engineered design, a substitute for a licensed fire-protection engineer, or a guarantee of 100% accuracy. Every quantity, device location, and code application is meant to be reviewed by you and, where required, by the engineer of record and the authority having jurisdiction. It speeds up the first pass; it doesn't remove the review.
An estimator who's been burned by over-promising software trusts a tool that names its own limits. We'd rather you know exactly where the line is than discover it on a job.
05Where it's going
Perfect Takeoff is in early access, and that's a deliberate stage, not a disclaimer. The core loop — plan in, marked-up plan and priced quote out — works today. What comes next is being shaped by the estimators using it: better handling of unusual drawing sets, deeper submittal and riser output, and the sharp edges that only show up on real jobs.
